Ex-works pricing stops at the factory gate, which means freight, duty, port charges, brokerage, plus warehousing before your first retail shipment all sit on the buyer's side of the ledger. Landed cost is the only number that answers the question a finance team will eventually ask: what does one sellable capsule unit truly cost, delivered to our warehouse?

Step One: Start with the true ex-works price
Ask your OEM partner for a complete unit breakdown instead of a single headline figure. Formula cost, capsule shell type, filling, primary packaging, secondary carton, quality testing, documentation. A 100% plant-based shell and a food-grade gelatin shell carry different costs, so request both versions if your brand positioning is still undecided. Confirm whether tooling or mould fees are amortised into the unit price or billed once.
Step Two: Add freight on the right basis
- Air freight: fastest, priced on chargeable weight, best for pilot batches and launch stock
- Sea freight LCL: economical at mid volumes, slower transit, higher handling risk
- Sea freight FCL: lowest per-unit cost once volume fills a container
- Express courier: useful for sample approvals, uneconomic for production runs
Chargeable weight is the greater of actual weight or volumetric weight, so ask your forwarder for both figures before comparing quotes from different providers.
Step Three: Layer duty, clearance, inland delivery
Import duty follows your HS classification. Cosmetic preparations often sit in a different tariff line than dietary or pharmaceutical goods, and a misclassified entry can cost more than the duty itself once penalties and re-inspection apply. Then add customs brokerage, terminal handling, destination port charges, possible inspection fees, and finally inland delivery to your premises.
Step Four: Do not forget the soft costs
- Inventory carrying cost while stock waits for artwork approval
- Re-labelling or re-testing if packaging does not match local regulation
- Bank charges, plus currency movement between quotation and settlement

Landed cost per unit equals total landed spend divided by sellable units. Total landed spend is ex-works goods value, freight, insurance, duty, clearance, inland delivery, plus soft costs. Divide the result again by your planned retail price to see true gross margin before marketing spend, and stress-test it at a weaker exchange rate before committing.
